We collect information you provide when creating an account, including your name, email address, role, and studio affiliation. We also collect usage data such as login activity and feature interactions to operate and improve the platform.

When you upload critique or rehearsal videos, the video file, generated transcripts, AI-powered summaries, and any notes you create are stored and associated with your studio, never with any other studio. Your videos are used for one purpose only: delivering the feedback features you asked for. They are not used to train general-purpose AI models, are never repurposed for marketing, and cannot be browsed by anyone outside the access rules you set.

Deleting a video is all you need to do. The moment you delete it, the video disappears from your studio's library and can no longer be viewed, shared, or reached by anyone, inside or outside your studio.

After that, we handle the rest automatically. The underlying stored file is queued for permanent erasure, and we complete that erasure with our platform on a regular recurring schedule. There is no second step for you, nothing to request, and nothing to remember.

We use your information to provide and improve the Dance Companion platform, including transcribing videos, generating performance summaries, sending notifications, and enabling studio collaboration features. That is the full list. We do not sell, rent, or trade your personal information, we do not share it with advertisers, and we do not build advertising profiles from your studio's activity.

Where processing requires specialized providers, such as audio transcription, we use vetted services solely to deliver that feature, and only the minimum content needed to complete the work.

Content you upload is visible to members of your studio based on the visibility settings you choose, never to other studios. You can set videos to studio-wide or restricted access, and you can share specific content with selected individuals by email. Shared links are unique, expire on the schedule you set, and can be revoked at any time by deactivating them. Studio administrators may have broader access to manage content within their studio.

Your data is stored in secure cloud infrastructure, scoped to your studio, with role-based access controls enforced at the data layer, not just in the interface. Private video files are never publicly exposed and are accessed only through short-lived signed URLs that expire automatically. Access to your studio's data requires an authenticated, authorized account.

We apply the same care to minors' content as to everything else and treat safeguarding as a first-class requirement, not an afterthought. No method of transmission or storage is completely secure, but we design every access path around the principle that your studio's media belongs to your studio.

Dance studios may include dancers who are minors, and we treat their media with heightened care. Studios are responsible for obtaining appropriate parental or guardian consent before uploading videos or creating profiles involving minors. If consent is not in place, do not upload. Parent and guardian contacts may be linked to dancer profiles for communication purposes at the studio's direction. Media of minors is never shared beyond the audience the studio explicitly chooses, and sharing can be revoked at any time.

We partner with the International Competitive Dancer Registry (ICDR) to verify safe access to dancers' media content. ICDR unites, preserves, and protects the dance community through verified identity: the industry's first privacy-compliant and industry-recognized shared ID system. It secures minors' media, puts dance families in full control of their own data, and empowers dancers, studios, and events to safeguard and modernize dance operations. Built by the community, for the community.

We encourage all dancers and dance families to register with ICDR. Registering gives families a portable, independent way to control how their media is used across the dance community, not just in Dance Companion.
